Time-clock control automation

Problem

Daily clocking is a legal obligation that, in practice, becomes a constant operational burden for any HR team. When the HR platform — in this case Personio — detects an incomplete clock-in, someone has to notice, identify the employee and remind them. Done by hand, the process does not scale: the larger the workforce, the more time it consumes, and reminders arrive late, generic and with little context. Depending on repetitive work also takes time away from higher-value HR tasks, and “cold” reminders do little to build a genuine culture of responsibility around clocking.

Solution

We designed and implemented a conversational bot that lives inside Google Chat, the channel employees already use every day, so we did not introduce yet another tool. Underneath, the solution is orchestrated with n8n, connecting the HR platform to the conversational engine, and powered by LLM models that interpret clocking data and write a natural, personalised reminder for each employee. The system identifies in real time who has an incomplete time record and sends the notice automatically, in context and without being intrusive, fitting into the working day without friction.

Results

  • Fewer errors in time-clock records.

  • Time saved for the HR team, which no longer has to chase incomplete clock-ins one by one.

  • A stronger internal culture of responsibility, without friction or interruption for the employee.

  • A solution that adapts dynamically to different scenarios and can scale to other internal processes beyond time-clock control.
